Why Every Document Writes Its Own Journal
In QuantX Ops the ledger is not typed up at month end. Issuing an invoice, receiving stock or running payroll writes the journal in the same transaction as the document.
In a lot of companies the accounts are a reconstruction. Documents happen all month, and at the end somebody reads them and types journals. The reconstruction is always slightly wrong, always late, and always argued about.
The document and the journal are one transaction
Issuing an invoice posts Dr Accounts Receivable, Cr Sales, Cr output GST. Receiving stock posts Dr Inventory, Cr GR/IR. Recording a receipt posts Dr Bank, Cr Accounts Receivable. Each of those happens in the same database transaction as the document itself — either both land or neither does.
You cannot therefore have an invoice that is not in the ledger, or a ledger entry with no document behind it.
Nothing is deleted
A posted journal is never removed. A correction is a reversal — a mirror entry that cancels the original, tagged as such. The original stays visible. This is not bureaucracy; it is the difference between an account you can explain to an auditor and a number that changed for reasons nobody can reconstruct.
What you get for it
- Month end is a review, not a rebuild. The figures are already there.
- Every balance drills to its documents. Receivables is a list of invoices, not an opinion.
- The subledgers cannot drift. Accounts receivable in the ledger and the sum of unpaid invoices are the same number by construction.
